Mavin Advisory Group Consulting Code of Conduct

Introduction

At Mavin Advisory Group (Mavin) our values embody the essence of our company's identity and reflect our unwavering commitment to responsible and trustworthy conduct. Our dedication is firmly rooted in upholding the utmost levels of ethics, professionalism, and integrity across all our business endeavours.

This comprehensive Code of Conduct serves as a roadmap, clearly defining the standards of behaviour and interactions you can expect from us, and covers our client interactions, partners, consultants, and representatives, who are an integral part of our organisation.

Our Code works hand in hand with our values, purpose, and key principals by setting forth the expectations of day-to- day behaviour for each member of the Mavin team. By outlining our most important guidelines, policies, and legal requirements, the Code of Conduct provides a clear sense of who we are.

Client Code of Conduct

The Client Code of Conduct establishes a framework for maintaining a culture of trust, respect, and transparency between Mavin and the Client.

Transparency with Clients

We maintain transparency with our clients right from the beginning of each relationship and throughout our collaborations. As individuals engaged in nurturing client connections and advocating for our services, our commitment entails representing our capabilities and expertise truthfully regarding the services provided, fees, potential risks, and anticipated results. Open and honest communication is the cornerstone of trust-building and well-informed decision-making.

Confidentiality with Clients

At its core, we uphold the confidentiality and integrity of all entrusted information and data. We consistently exercise diligence in its responsible utilisation, distribution, storage, and removal. Confidential client information can include but is not limited to: Strategies; Advice; Benchmarking; Personal/Private information and Proprietary IP. This type of information is not shared with anyone who is not authorised by the Client to receive it.  

Protecting and Managing Data with Clients

Effectively managing client information, whether generated or acquired during proposals or engagements, stands as a pivotal element in delivering exceptional client service, safeguarding the reputation of our firm, and reinforcing the trust that we established with our clients. Mavin makes appropriate decisions regarding retention and deletion of client materials.  

Delivering Quality with Clients

Our reputation continues to flourish due to our steadfast collaborative ethos. We excel in generating ideas and solutions that deliver tangible, positive, and lasting change, encompassing strategies, processes, and solutions with market acumen. How do we do this?

Mavin employs the following means to ensure that the quality of our projects meets or exceeds the expectations of our clients;

1) We ensure our team is accountable, knowledgeable and have the expertise to deliver;

2) We hold the same standards to be true of any engagement we undertake with third party suppliers. Due diligence and monitoring ensure that these companies are accountable for the quality of service that they provide; and

3) We engage and encourage feedback and open transparency with our clients about expectations, areas of improvement and defining success.

At Mavin, we believe in fostering diversity and upholding a commitment to equitable treatment of clients, colleagues, and partners, devoid of any form of discrimination. Competing Fairly with Clients

At Mavin, we actively adhere to the fair-trade practices and laws in the countries where we do business. Where we serve multiple interests (diverse clients, third party service providers et.al) we will not share confidential information between competing parties., Any information we receive (regardless of source) is considered confidential client information and is treated as such. This ensures the absence of any impropriety in the acquisition or dissemination of non-public, or 'insider,' information.

The Mavin Advisory Group (Mavin) Code of Conduct clearly defines the standards of behaviour and interactions you can expect from us as a framework to maintain a culture of trust, respect, and transparency.

At Mavin, we proactively adhere to the complete spectrum of relevant laws, regulations, and industry benchmarks that oversee the financial services and wealth management sector in the countries in which we operate.

Integrity and Respect with Mavin Advisory Group

At Mavin, we act with honesty and integrity in all our professional interactions, ensuring that our actions align with the best interests of our clients. Moreover, we treat each other, clients, and any interactions with others with the utmost respect and professionalism. Harassment, discrimination, and any form of inappropriate behaviour are strictly prohibited.

Personal Data Protection with Mavin Advisory Group

At Mavin, we adhere to all local regulations and laws when dealing with the protection of information, personal or otherwise.

When we process data classified as personal data, we prioritise confidentiality, minimise the collection of personal data (where applicable) and / or utilise anonymised data as much as possible. Moreover, we ensure personal data is used only for the purpose for which it is collected.  

Avoiding Conflicts of Interest with Mavin Advisory Group

Conflicts of interest arise when personal or professional interests interfere with the ability for Mavin to perform effectively and without bias, in the execution of our services and in the best interests of our clients. Or when professional responsibilities to one client may impact our obligations to another client.  

At Mavin, we assess each client engagement to determine any potential, perceived or actual conflicts of interest (direct or indirect) that could impact our objectivity, decision-making, or the best interests of clients. Appropriate actions are taken to manage and mitigate any such conflicts to maintain our commitment to transparency and client trust.

Avoiding Insider Trading with Mavin Advisory Group

As part of our work, we are occasionally aware of potentially market sensitive information about our clients and their businesses.  

At Mavin, not only do we consider this information client confidential, but we will also ensure that any material, non-public (inside) information we have access to will not be used or passed on to others, for personal benefit. Non-public (inside) information includes any knowledge that could be considered important when making investment decisions.  

Audit/Investigation Compliance with Mavin Advisory Group

At Mavin, it is our policy to provide all information requested in an audit or investigation scenario initiated by Mavin (internal audit policy), by the Client (as part of their company’s audit process) or by a legal government authority. In the event of a legal subpoena we will not destroy, conceal, or alter this information in any way. When participating with any investigation, we preserve our reputation for integrity and transparency by ensuring we provide only truthful and accurate information. We will inform our clients of any requests initiated for audit/investigation situations.

Protecting Physical Assets with Mavin Advisory Group

At Mavin, we may be assigned a client’s physical assets in the course of providing our services. We are accountable for protecting these assets and will take reasonable precautions to preserve this property against damage, misuse, and theft. In the unfortunate event of injury to property, we will report this to the Client immediately.

Protecting Intellectual Property (IP) with Mavin Advisory Group

At Mavin, IP is a valuable property that we safeguard. IP includes any information, technical or strategic that gives Mavin a competitive advantage and in which Mavin retains ownership. This includes IP developed with company materials, time and at the company’s expense, and within the capacity of our work, independently or during a client relationship.  

Technology and Information Security with Mavin Advisory Group

At Mavin, technology and information security are an essential part of our ability to deliver professional services and our ability to maintain a culture of trust, respect, and transparency between Mavin and the Client. We use technology for authorised, ethical and legal purposes only and as part of our delivery to the client.  

Employee Code of Conduct

Mavin's Employee Code of Conduct outlines the standards of behaviour and interactions you can expect from our employees, and is designed to foster a culture of trust, respect, and transparency between Mavin's employees and the Client. As a basic standard, we expect our employees to be professional, trustworthy, diligent, and accountable for their actions when dealing with clients, co-workers, and each other. To demonstrably pursue the best outcomes for Mavin/the Client and to treat all parties with courtesy and respect.

Compliance for Mavin Advisory Group Employees

At Mavin, our employees are accountable for complying with Mavin/the Client’s code of conduct, workplace policies, procedures, rules, and health and safety regulations.

Maintaining a Safe and Healthy Work Environment for Mavin Advisory Group Employees

At Mavin, we are committed to providing a safe and secure work environment for our clients, co-workers, and employees. We individually and collectively accept responsibility to prevent or mitigate any situation or environment which negatively impacts our health and wellbeing. Moreover, our employees will comply with, and observe all workplace health and safety rules and responsibilities.  

Anti-harassment for Mavin Advisory Group Employees

At Mavin, we do not tolerate harassment (either from or to) our employees in any circumstances. Harassment includes (but is not limited to): verbal or physical violence, threats, intimidation, abuse, sexual advances, bullying, discrimination and/or derogatory comments. The legal definition of harassment may vary based on the countries and domains we conduct business in, but at Mavin we maintain the highest of standards which prohibit all forms of mental, emotional, or physical harassment or threat.  

Anti-discrimination for Mavin Advisory Group Employees

At Mavin, we do not discriminate based on (but not limited to) sex, race, disability, pregnancy, age, marital status, or sexual orientation.
